How to View and Search All Sales Lines in Business Central?

If you have ever needed to find every line item shipping to a customer next week, or track down a specific item across dozens of open sales orders, you already know the pain. Opening one sales order at a time, scrolling through lines, closing it, and opening the next one is not a workflow, it is a time sink.

The good news is that Dynamics 365 Business Central already has a built-in way to view and search all sales lines in one place, across every open and posted sales document, without installing any third-party app. Most users just do not know where to look, because Microsoft rolled this out quietly as part of a release wave rather than a headline feature.

This guide walks through exactly how to find these pages, search and filter them, personalize them for your team, and export them to Excel. We will also cover what to do if the pages are not showing up for you, and when it genuinely makes sense to go beyond the native tools.

Why Viewing All Sales Lines in One Place Matters?

Sales documents in Business Central, quotes, orders, invoices, shipments, and credit memos, are built to be opened one at a time. That works fine when you are processing a single order. It breaks down the moment you need a cross-document view, for example:

  • Finding every order line for a specific item that has not shipped yet
  • Reviewing all lines with a promised delivery date in the next seven days
  • Spotting sales orders stuck with backlogged quantities
  • Pulling line-level detail for a customer across multiple open orders
  • Auditing posted invoice lines for a specific G/L account or dimension

Without an aggregated view, someone on your sales, warehouse, or finance team ends up opening documents individually and copying data into a spreadsheet by hand. That is slow, error-prone, and does not scale as order volume grows.

Native Ways to View and Search All Sales Lines in Business Central

Business Central introduced dedicated, searchable list pages for sales document lines as part of the 2022 release wave 2 update, and they have remained a standard part of the application ever since. These pages pull every line from every sales document of that type into a single list, and they behave like any other Business Central list: you can search, filter, sort, personalize, and export them.

The quickest way in is the search bar (the magnifying glass icon, or Alt+Q) in the top right corner of Business Central.

  1. Select the search icon or press Alt+Q
  2. Type the name of the page you need, for example "Sales Lines" or "Posted Sales Invoice Lines"
  3. Select the matching result from the dropdown

You will land on a page listing every line from every document of that type, ready to filter.

Method 2: Open Sales Lines for Active (Unposted) Documents

For documents that have not been posted yet, quotes, orders, and blanket orders, search for Sales Lines. This single page shows every open sales line across all of those document types, so you can filter by item, customer, location, or promised date without opening a single document.

Method 3: Open Line Pages for Posted Sales Documents

Once a document is posted, its lines move to a separate posted-document line page. Each posted document type has its own dedicated lines page:

Page NameBusiness Central Page No.Shows Lines From
Sales Lines516Open quotes, orders, and blanket orders
Posted Sales Shipment Lines525Posted sales shipments
Posted Sales Invoice Lines526Posted sales invoices
Posted Sales Credit Memo Lines527Posted sales credit memos
Purchase Lines518Open purchase quotes and orders
Posted Purchase Receipt Lines528Posted purchase receipts
Posted Purchase Invoice Lines529Posted purchase invoices
Posted Purchase Cr. Memo Lines530Posted purchase credit memos

You do not need to memorize these page numbers. Searching the page name through Tell Me will take you straight there. The numbers are useful mainly if you are building a role center tile, a bookmark, or an AL customization that references the page directly.

Step-by-Step: Viewing and Searching Sales Order Lines

Here is the process end to end, using open sales orders as the example:

  1. Select the search icon and type Sales Lines, then open the page
  2. The page loads every line from every open quote, order, and blanket order in the company
  3. Use the filter pane on the right, or the built-in filter fields at the top of the list, to narrow results, for example by Document Type, Sold-to Customer, Type, No., or Shipment Date
  4. Select any line and choose the action to open the related document if you need the full context
  5. Adjust columns, sort order, or grouping to match how your team actually works

For posted invoices, credit memos, or shipments, repeat the same process starting from the relevant posted lines page in the table above.

Filtering, Sorting, and Personalizing These Pages

The real value of these pages comes from filtering. A few filters worth setting up:

  • Item No. or Description to find every line referencing a specific product
  • Shipment Date to catch everything shipping in a given window
  • Sell-to Customer No. to pull a customer's activity across documents
  • Outstanding Quantity greater than zero to isolate backlogged lines
  • Dimensions (department, project, location) for finance-driven reviews

You can also select Personalize from the settings icon to add or remove columns, such as Line No., Quantity to Ship, or Unit Price, so the page shows exactly what your team needs without extra clicks.

Saving Views and Bookmarking for Faster Access

Once you have a filter set up that your team will reuse, do not rebuild it every time.

  • Use Save as View to store a filtered version of the page, for example "Backlogged Orders" or "This Week's Shipments," so it appears as a tab at the top of the list
  • Use Bookmark this Page from the search results to pin a specific filtered view directly to a Role Center for one-click access

This turns a page you might visit occasionally into a standing report your sales or warehouse team checks every morning.

Exporting Sales Lines to Excel for Reporting

Every one of these pages supports the standard Business Central export. From any sales or purchase lines page, select Share, then Open in Excel, or use Export to Excel from the ribbon. This is useful when you need to share a snapshot with people who do not have a Business Central login, or when you want to build a pivot table on top of the raw line data.

For recurring, automated reporting rather than one-off exports, it is worth connecting these entities to Power BI so the numbers refresh on their own schedule instead of relying on manual exports.

Searching for Specific Items Across Sales Lines

If you regularly need to find items by partial name or description rather than exact number, the built-in filter pane supports wildcard-style searches. Typing part of an item description into the filter field, such as a portion of a product name, will return every line where that description appears, across every document in the list. This is often faster than scrolling an item list and cross-referencing order numbers manually.

Common Issues When Sales Lines Pages Do Not Appear

A few reasons these pages might not show up when you search:

IssueLikely CauseFix
Page does not appear in search resultsYour Business Central version predates 2022 release wave 2Confirm your version and plan an update
Page opens but shows no dataFilters carried over from a previous sessionClear all filters on the page
Page is visible but greyed out or restrictedPermission set does not include access to these list pagesAsk your system administrator to update the relevant permission set
Some fields are missingPage has not been personalized for your roleUse Personalize to add the fields you need

If none of these resolve it, it is worth a quick conversation with your Business Central partner rather than guessing at permission sets, since incorrect changes there can expose more data than intended.

A Scenario We See Often

One recurring situation among distribution and wholesale clients: the warehouse team needs a daily list of everything scheduled to ship in the next few days, but sales orders are entered by multiple reps across multiple locations, with no single screen showing it all. Instead of building a custom report or exporting data by hand every morning, the fix is usually just this, open the Sales Lines page, filter by Shipment Date and Outstanding Quantity, save that view, and bookmark it to the warehouse team's Role Center. What used to be a 20-minute manual pull each morning becomes a page that is already open and current when the team logs in. It is a small change, but it is the kind of native capability that gets missed simply because it is not well documented.

When You Might Need More Than the Native Pages

The native sales and purchase line pages cover the vast majority of day-to-day search and filter needs, and they do it at no additional cost. That said, there are situations where a business genuinely needs something more:

  • Cross-company reporting across multiple Business Central environments
  • Highly customized dashboards blending sales lines with data from outside Business Central
  • Automated alerts triggered by specific line-level conditions
  • Complex, recurring executive reporting that goes beyond filtering and export

In those cases, the right move is usually a Power BI connection or a light AL customization built around your specific process, rather than a generic add-on. If you are not sure which route fits your business, that is exactly the kind of question worth bringing to your Business Central implementation partner before you commit budget to it.

Frequently Asked Questions

Do I need to buy an add-on to view all sales lines in Business Central?

No. Since Business Central 2022 release wave 2, dedicated list pages for open and posted sales and purchase lines have been part of the standard application, accessible through the search bar at no additional cost.

What is the difference between the Sales Lines page and the Posted Sales Invoice Lines page?

The Sales Lines page shows lines from documents that have not been posted yet, quotes, orders, and blanket orders. Posted Sales Invoice Lines, Posted Sales Shipment Lines, and Posted Sales Credit Memo Lines each show lines from their respective posted document types.

Can I export sales lines to Excel?

Yes. From any of these pages, use Share, then Open in Excel, or the Export to Excel option in the ribbon.

This usually means your Business Central environment is on a version older than 2022 release wave 2, or your permission set restricts access to these pages. Check your version first, then check permissions with your administrator.

Can these pages be filtered by dimension, such as department or project?

Yes. Dimensions can be added as columns and used as filters on both the open and posted line pages, which makes them useful for finance-driven reviews as well as sales and warehouse workflows.
